This Privacy Policy explains how the SJA Traders Workforce Management application ("the App", "we", "us") collects, uses, and protects information when used by authorised staff (admins, supervisors, managers, and workforce members) of SJA Traders. The App is an internal business tool for shop operations — attendance, shop photos, stock, billing, and reporting.

1. Information We Collect

• Account information: your Workforce ID, name, role, assigned shop, and a securely hashed password used to sign in.
• Attendance & location: your device's GPS location and timestamp at the moment you check in or check out, used to confirm you are at the assigned shop (geofencing). Location is recorded only during check-in/out actions, not continuously in the background.
• Photos: shop photographs you capture and upload using the camera.
• Operational data: stock entries, orders, bills, sales, expenses, and purchase records that you enter as part of your work.
• Device & usage information: basic technical data needed for the App to function and for security (e.g., authentication tokens).

2. How We Use the Information

• To authenticate users and provide role-based access.
• To record and verify staff attendance at assigned shops.
• To manage shop stock, generate bills, and record sales, expenses and purchases.
• To produce reports for shop owners and management.
• To keep the service secure and prevent unauthorised access.

3. Device Permissions

• Camera — to take shop verification photos.
• Location — to verify attendance check-in/out at the shop.
• Storage / Files — to save and share generated bills and PDF reports.

You can revoke these permissions at any time in your device settings; some features may then stop working.

4. Data Sharing

We do not sell or rent your personal information. Data is accessible only to authorised SJA Traders management and the staff member who created it, according to their role. We do not share data with third-party advertisers. Information may be disclosed only if required by law.

5. Data Storage & Security

Data is stored on a secured server operated for SJA Traders. Passwords are stored using one-way encryption (hashing) and are never stored in plain text. Access is protected by authenticated, role-based controls and transmitted over encrypted HTTPS connections.

6. Data Retention

Operational records (attendance, photos, bills, stock, reports) are retained for as long as needed for business and accounting purposes. When a staff account is removed, login access is disabled.

7. Children's Privacy

The App is intended for use by employed staff only and is not directed to children under 13. We do not knowingly collect information from children.

8. Your Rights

Staff may request access to, correction of, or deletion of their personal information by contacting their administrator or us at the address below.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above will reflect any changes.
